# PasteOrder
> PasteOrder is a Shopify app for wholesale and B2B merchants. ## What it is
Wholesale orders arrive as emails, PDFs and spreadsheets, and someone retypes every line into Shopify. Paste the order into PasteOrder instead. Each line comes back matched to your catalog and priced for that buyer, and one click creates the draft order.

Limits: 10 MB per file, one file per order, up to 500 lines. A scanned PDF or a photo has no text layer, so PasteOrder says so and asks you to paste the text instead.
## How it works
1. **Read the order.** PasteOrder splits the document into lines and finds the quantity, unit, SKU and price on each. Greetings and notes are set aside.
2. **Match each line.** Every line is matched to a variant in your catalog by SKU, barcode or title, with a confidence score. Products in the buyer's catalog come first.
3. **Check it like your team would.** Prices come from the buyer's price list. Quantity rules, stock, case sizes and price differences are checked, and anything off is flagged on its line.
4. **Create the draft.** One click creates the draft order for the right company location or customer, with the PO number in the note, and opens it in Shopify.
Invoices, payment terms, shipping and taxes stay in Shopify's draft order page, where you handle them today.
## What it checks
Anything off is flagged on the line before the draft exists. Each flag shows both values and a one-click fix.

Every line ends in one of three states:
- **Matched**: sure of the product and nothing flagged. These lines need nothing from you.
- **Needs a look**: not sure, or something is flagged. The closest alternatives are on the line: confirm or pick another.
- **No match yet**: nothing in your catalog looks like it. Search the catalog, add it as a custom item with the buyer's wording, or remove the line.
## How matching works
PasteOrder can only choose from your catalog. For every line it searches your catalog first; the matching model (Jev, a decision model from TypeSafe AI) then picks one of those products, or "none of these", with a probability. It has no way to write a SKU of its own, so a line it can't place comes back as "No match yet" instead of matched to something that doesn't exist.
- A person approves every draft. PasteOrder never sends an invoice or completes an order.
- Email addresses, phone numbers and tax IDs are removed before any text is sent for matching.
- Pasted text can only become line items and notes on a draft. Nothing in a document can change anything else in your store.
- Originals are stored encrypted for 30 days by default. You can have them deleted within an hour, or kept for 90 days.
## It learns
Correct a line once and the same wording matches on that buyer's next order. Once three different companies confirm the same wording, it applies to every buyer in the store. Spreadsheet column mappings are remembered per buyer and header row. When a buyer writes "same as last time", PasteOrder copies their last order into review so you only check the quantities.

Every plan includes every feature: pasted text, PDF, XLSX and CSV uploads, catalog matching with confidence scores, buyer price lists, quantity rule, stock and case-size checks, per-buyer memory, spreadsheet column mapping, the admin actions on Draft Orders and company pages, and the source card on draft orders.
## What counts
- **Counts:** a draft order that PasteOrder creates in your store.
- **Never counts:** pasting or uploading an order, matching it (the onboarding sample included), reviewing and correcting lines, or discarding an import without creating a draft.
The count resets with each billing cycle, on the Free plan too.
## At the limit
Nothing extra is billed on any plan. When you reach your plan's draft orders for the cycle, matching and review keep working and the "Create draft order" button becomes an upgrade prompt. Upgrade from inside the app, or wait for the next cycle.
## Billing
- Charges appear on your Shopify bill; PasteOrder never sees or stores card details.
- You change plans from inside the app. Uninstalling the app cancels the subscription.

# PasteOrder FAQ

## Getting started
### Do I need Shopify B2B to use PasteOrder?
No. A draft order can be for a B2B company location or for a regular customer. With B2B turned on, each line is priced from the company's catalog and checked against its quantity rules. Without it, lines use your regular prices.
### How do I start?
Install it from the [Shopify App Store](https://apps.shopify.com/pasteorder). PasteOrder indexes your catalog, which usually takes a minute or two, then writes a messy sample purchase order from five random products in your store and matches it, so your first run uses your own products. After that, paste a real PO on the app's home screen, or use "Create from PO" on the Draft Orders page or "Paste an order" on a company page.
### Who on my team can use it?
Any staff member with access to the app. Each import and correction records which staff member made it.
## What it reads
### What can I paste or upload?
Text from an email, a chat message or a quote request, rows copied from Excel or Google Sheets, and PDF, XLSX or CSV files up to 10 MB. One file per order, up to 500 lines.
### What about scanned PDFs and photos?
Not yet. A scan has no text layer to read, so PasteOrder tells you and asks you to paste the text instead.
### How are spreadsheet columns handled?
PasteOrder works out which column is the SKU, the description, the quantity and the price. When it is sure, the file goes straight to matching. When a layout is unusual, it shows the mapping with each column prefilled and you confirm it once; the mapping is remembered for that buyer and that header row.
### What about "same as last time"?
When a buyer asks for the same order as last time, PasteOrder copies their last PasteOrder import into review and flags it so you check the quantities.
## Matching
### Can it match a line to a product that isn't in my catalog?
No. PasteOrder searches your catalog first, and the matching model can only choose among those results or answer "none of these". A line with no good match comes back as "No match yet": you search the catalog, add it as a custom item with the buyer's wording, or remove it.
### What does the matching?
Jev, a decision model from TypeSafe AI. It doesn't write text. It picks from the options PasteOrder gives it and returns a probability for each, and that probability decides which lines come back green ("Matched") and which come back as "Needs a look". TypeSafe does not train on the requests.
### What if the matching service is down?
The import still works. Lines are matched by catalog search alone, every line comes back as "Needs a look" with its closest catalog matches, and the screen says why.
### Can I review with the keyboard?
Yes. In the paste box, ⌘ Enter (Ctrl Enter on Windows) starts matching. In the review, ↓ or J and ↑ or K move between lines, Enter confirms the match on the line, and 1, 2 or 3 picks one of the three closest products listed on it. In the catalog search, the arrows and Enter pick a result and Esc closes it.
### Does it learn?
Yes. When you correct a line, PasteOrder remembers that wording for that buyer, and the same words match on their next order. Once three different companies confirm the same wording, it applies to every buyer in the store.
### Does it read my order history?
No. PasteOrder doesn't ask for access to your orders. To rank likely products for a buyer, it only looks at the orders that buyer sent through PasteOrder before.
## Prices, quantities and stock
### How does it decide prices?
Your price wins. Each line is priced from the buyer's price list, volume breaks included, or from your regular price when the buyer has none. If the PO shows a different price, the line is flagged with both and you can use the buyer's price in one click. A PO with no price is fine and is not flagged.
An optional setting accepts buyer prices automatically when they are at most a percentage you choose below yours. It's off until you turn it on.
### What happens with cases and packs?
They are converted to units. PasteOrder uses a case variant if you have one, then a pack size you've saved, then your quantity rule's increment, then the product title.
A pack size it had to work out is never accepted on its own: you confirm it once and it's remembered. A line ordered by the case with no known case size always comes back for a look.
### What about minimums and increments?
Quantity rules from the buyer's catalog are checked on every line. A quantity below the minimum, above the maximum or off the increment is flagged with a suggested quantity.
### What if an item is out of stock?
The line is flagged and an in-stock substitute from the same kind of product is suggested. PasteOrder never swaps a product on its own, and the draft can still be created with the original item.
### Does it handle several company locations?
Yes. If a company has more than one location, you pick the ship-to location on the review screen. Prices and quantity rules come from that location's catalog.
## What it never does
### Does PasteOrder send the invoice or complete the order?
No. It creates the draft order and opens it in Shopify's draft order page. Invoices, payment terms, shipping and taxes stay there, where you handle them today.
### Can a pasted document change anything in my store?
No. PasteOrder only creates draft orders, and text from a document can only become line items and notes on that draft.
## Data and privacy
### What happens to the documents we paste or upload?
The original is stored encrypted for 30 days by default. In Settings you can have it deleted within an hour of processing, or kept for 90 days. Email addresses, phone numbers and tax IDs are removed before any text is sent for matching.

### Where is the data stored?
On Amazon Web Services in the us-east-2 region. Text sent for matching goes to TypeSafe AI's API in the United States.
## Languages
### Does it work with purchase orders in Portuguese or Spanish?
Partly. The app is available in English, Portuguese (Brazil) and Spanish and follows each staff member's admin language. Purchase orders written in English get full matching today.
Orders written in Portuguese or Spanish are read with catalog search only, so every line comes back for you to confirm, until matching in that language passes the same accuracy bar on real purchase orders.
## Billing
### What counts toward my plan?
Only draft orders PasteOrder creates. Pasting, matching, reviewing and discarding an order never count. At your plan's limit nothing extra is billed: review keeps working and the create button asks you to upgrade. See [pricing.md](https://pasteorder.com/pricing.md).
### Is there a free trial?

# Privacy Policy

## 1. Who we are
PasteOrder ("we", "us", "our") is a Shopify app that turns purchase orders from a merchant's wholesale buyers into Shopify draft orders. The app is operated by **Conversion Guard LLC**, registered at **2525 W. Grand Ronde Ave, Kennewick, WA**.

## 2. What data we collect
### From Shopify, when you install the app
- **Shop domain** and basic store details (store name, contact email, currency, plan).
- **Shopify access token**, the credential Shopify issues so the app can read your catalog, companies and customers and create draft orders. It is encrypted at rest with AWS KMS and never leaves our systems.
- **Catalog data**: product and variant titles, SKUs, barcodes, options, vendors, product types, tags, prices, stock levels, images and, if you configure one, a pack-size metafield. A searchable snapshot of your catalog is stored so lines can be matched quickly.
- **Company, company location, company contact and customer records** are looked up live in Shopify when a purchase order is processed and when you search for a buyer. We store only the Shopify IDs of the buyer chosen for each import, plus the display name shown in the app.
Access scopes: `write_draft_orders`, `read_products`, `read_inventory`, `read_companies`, `read_customers`. No order history is read.
### Protected customer data
The app requests Shopify's protected customer data access at Level 2, limited to **name, email and address**. Purpose: identifying which company, location or customer a purchase order is for. Email addresses found in the document are matched against company contacts and customers, and ship-to addresses are compared with company location addresses. No phone numbers are requested or used.
### What your staff paste or upload
- **Purchase order text and files** (pasted text, PDF, XLSX, CSV). The original is stored encrypted in AWS S3 for the retention period you choose (see section 6). It may contain your buyer's business contact details.
- **Redacted line text**: before any text is analysed by the matching service or stored on a line record, email addresses, phone numbers and tax identification numbers (such as CPF, CNPJ, NIF or RFC) are removed, and street addresses are removed from all line-level analysis.
### Generated while the app works
- **Matching decisions**: for each line, the catalog candidates considered, the chosen variant, confidence scores, flags (price mismatch, quantity rule, stock, pack size), and the answers returned by the matching service with the question-set and model version.
- **Corrections**: what your staff changed, which builds the per-buyer alias memory (a normalized product phrase mapped to a variant ID).
- **Staff member ID** from the Shopify session token, recorded on each import and correction.
- **Column mappings** for spreadsheets, remembered per buyer and header layout.
- **Allowance records**: one row per draft order created, used for plan limits. We never store card or payment details; Shopify handles billing.
### What we do not collect
- No phone numbers.
- No email addresses, phone numbers or tax identification numbers are ever sent to the matching service.
- No order history from your store.
- No passwords or admin credentials beyond the Shopify access token.
## 3. How we use your data

We do not use your data for advertising and we do not sell or rent it.
## 4. Third-party processors
### TypeSafe AI (matching)
Redacted purchase order text, spreadsheet headers and sample values, and the titles and SKUs of candidate products from your catalog are sent to **TypeSafe AI** (San Francisco, United States) for its Jev decision model, which returns typed choices with probabilities. TypeSafe does not train on customer requests. We are putting a Data Processing Agreement and zero data retention in place with TypeSafe.
Email addresses, phone numbers and tax identification numbers are removed before sending. Street addresses are always removed from line-level requests. They reach document-level requests only if you turn on address matching in Settings, which is off by default; it exists to tell a company's locations apart when the ship-to block is ambiguous.
### Amazon Web Services
All infrastructure runs on AWS in the **us-east-2** region: DynamoDB (the records above), S3 with KMS encryption (original documents, catalog snapshots), Lambda, EventBridge and KMS. Data leaves this region only for TypeSafe's API.
### Shopify
As a Shopify app we operate inside Shopify's platform; Shopify's privacy policy governs the data it holds about you and your buyers.
## 5. Data sharing
Data is shared only with the processors above and only to operate the app. We may disclose data if required by law or to protect the rights and safety of users and third parties.
## 6. Retention and deletion
- **Original documents**: 30 days by default. In Settings you can choose not to keep them (deleted within an hour of processing) or to keep them 90 days. Deletion is enforced by storage lifecycle rules and an hourly sweep. A change applies to documents imported after it.
- **Redacted line text, matching decisions, corrections, aliases, pack sizes and column mappings**: kept while the app is installed, because they are what makes matching improve over time.
- **On uninstall**: processing stops when Shopify sends `app/uninstalled`. When Shopify sends `shop/redact` (48 hours after uninstall), we delete every record and file for the store, including the catalog snapshot.
- **Customer requests**: on `customers/redact` we delete every import linked to that customer ID, including its lines, decisions and original document. On `customers/data_request` we report the import IDs that reference the customer; we hold no customer data beyond Shopify IDs.
- **On request**: email [privacy@pasteorder.com](mailto:privacy@pasteorder.com) to delete your import history early. We act within 7 business days of receiving the request.
## 7. Your rights
### Shopify compliance webhooks

## 8. Security
- Shopify access tokens are encrypted at rest with AWS KMS; documents and snapshots are encrypted in S3 with KMS.
- All traffic uses TLS. API endpoints require a Shopify session token; webhooks are verified with Shopify's HMAC signature.
- The storage bucket blocks all public access; documents are served to your staff through short-lived signed links.
- Every read is scoped to the store identified by the session token; the client never supplies a store identifier.
- The app writes only draft orders. Nothing from a pasted document can change anything other than the draft's line items and notes.

## 9. Children's privacy
The app is for merchants operating commercial stores. We do not knowingly collect data from individuals under 18.
## 10. Changes
We update the date above when this policy changes and notify merchants in the app or by email for material changes. Continued use after an update means acceptance.
