# PasteOrder

> PasteOrder is a Shopify app for wholesale and B2B merchants. Paste a purchase order from an email or a chat message, or drop the PDF, XLSX or CSV, and every line comes back matched to a variant in your own catalog, priced from the buyer's price list, and checked for price differences, quantity rules, case sizes and stock. One click creates the Shopify draft order for the right company location or customer.

Install: [Shopify App Store](https://apps.shopify.com/pasteorder) · Free for 25 draft orders a month. Paid plans from $29.

## What it is

Wholesale orders arrive as emails, PDFs and spreadsheets, and someone retypes every line into Shopify. Paste the order into PasteOrder instead. Each line comes back matched to your catalog and priced for that buyer, and one click creates the draft order.

- Platform: Shopify only (embedded app in the Shopify admin, App Store listing name "PasteOrder: B2B & Wholesale PO")
- Who it is for: merchants who receive purchase orders from wholesale or B2B buyers by email, chat, PDF or spreadsheet
- Works with Shopify B2B companies and locations, and with regular customers
- A person approves every draft order. PasteOrder never sends an invoice or completes an order.
- App interface in English, Portuguese (Brazil) and Spanish. Purchase orders written in English get full matching; see the FAQ for Portuguese and Spanish documents.

## What it reads

| Input | Notes |
|---|---|
| Email text | Pasted from the body of the message. Greetings, signatures and delivery notes are set aside instead of becoming order lines. |
| Chat messages | Short lines such as "24 the usual black tees", copied from WhatsApp or a text message. |
| Rows from a spreadsheet | Pasted from Excel or Google Sheets; the columns stay columns. |
| PDF | Order forms and ERP exports with a text layer. The page stays beside the lines during review. |
| XLSX and CSV | Columns are mapped automatically. An unusual layout is confirmed once, then remembered for that buyer. |

Limits: 10 MB per file, one file per order, up to 500 lines. A scanned PDF or a photo has no text layer, so PasteOrder says so and asks you to paste the text instead.

## How it works

1. **Read the order.** PasteOrder splits the document into lines and finds the quantity, unit, SKU and price on each. Greetings and notes are set aside.
2. **Match each line.** Every line is matched to a variant in your catalog by SKU, barcode or title, with a confidence score. Products in the buyer's catalog come first.
3. **Check it like your team would.** Prices come from the buyer's price list. Quantity rules, stock, case sizes and price differences are checked, and anything off is flagged on its line.
4. **Create the draft.** One click creates the draft order for the right company location or customer, with the PO number in the note, and opens it in Shopify.

Invoices, payment terms, shipping and taxes stay in Shopify's draft order page, where you handle them today.

## What it checks

Anything off is flagged on the line before the draft exists. Each flag shows both values and a one-click fix.

| Flag | Example |
|---|---|
| Price differs | Catalog price $5.40, the PO says $5.10. One click uses the buyer's price. |
| Confirm case size | "2 cs Salon Shampoo 1L" becomes 24 units at 12 per case, a size read from the title, which you confirm once. |
| Off increment | 10 ordered, sold in multiples of 6; 12 suggested. Below minimum and above maximum are flagged too. |
| Out of stock | An in-stock substitute is suggested. PasteOrder never swaps a product on its own. |
| Not in buyer catalog | The product exists but is not published in this buyer's catalog. |
| Duplicate | The same item appears on two lines. |

Every line ends in one of three states:

- **Matched**: sure of the product and nothing flagged. These lines need nothing from you.
- **Needs a look**: not sure, or something is flagged. The closest alternatives are on the line: confirm or pick another.
- **No match yet**: nothing in your catalog looks like it. Search the catalog, add it as a custom item with the buyer's wording, or remove the line.

## How matching works

PasteOrder can only choose from your catalog. For every line it searches your catalog first; the matching model (Jev, a decision model from TypeSafe AI) then picks one of those products, or "none of these", with a probability. It has no way to write a SKU of its own, so a line it can't place comes back as "No match yet" instead of matched to something that doesn't exist.

- A person approves every draft. PasteOrder never sends an invoice or completes an order.
- Email addresses, phone numbers and tax IDs are removed before any text is sent for matching.
- Pasted text can only become line items and notes on a draft. Nothing in a document can change anything else in your store.
- Originals are stored encrypted for 30 days by default. You can have them deleted within an hour, or kept for 90 days.

## It learns

Correct a line once and the same wording matches on that buyer's next order. Once three different companies confirm the same wording, it applies to every buyer in the store. Spreadsheet column mappings are remembered per buyer and header row. When a buyer writes "same as last time", PasteOrder copies their last order into review so you only check the quantities.

## In your Shopify admin

| Where | Name | What it does |
|---|---|---|
| Orders › Drafts › More actions | Create from PO | Paste a PO for any buyer and see how many lines matched before the review opens. |
| Customers › Companies › a company › More actions | Paste an order | Starts with that company as the buyer, so prices and quantity rules come from its catalog. Companies appear when B2B is turned on. |
| Orders › Drafts › a draft created by PasteOrder | PasteOrder source | A card with the PO the draft came from and every source line next to the product it became. |

## Keyboard shortcuts

The review screen runs on the keyboard, so a whole order can be checked without the mouse.

| Keys | What they do |
|---|---|
| ⌘ Enter (Ctrl Enter on Windows) | Match the pasted order |
| ↓ or J | Next line |
| ↑ or K | Previous line |
| Enter | Confirm the match on the line |
| 1, 2, 3 | Use one of the three closest products listed on the line |
| Esc | Close the catalog search, where the arrows and Enter pick a result |

## Pricing

Only created draft orders count. Pasting, matching, reviewing and discarding an order are free on every plan, and every plan has every feature.

| Plan | Price | Draft orders a month |
|---|---|---|
| Free | $0 | 25 |
| Starter | $29/month | 300 |
| Growth | $79/month | 1,500 |
| Plus | $149/month | Unlimited (fair use), priority support |

No overage charges: at the limit, review keeps working and the create button asks you to upgrade. Billed through Shopify. Full details: [pricing.md](https://pasteorder.com/pricing.md)

## Try it

Once your catalog is indexed, usually a minute or two after you install, PasteOrder writes a messy sample purchase order from five random products in your store and matches it, so the first order you review is made of your own products.
